Minutes of the Annual General Meeting – 2008
The Annual General Meeting (AGM) of the Georgians Association–Delhi (Regd.) (GAD) was held at 2000 hrs (8 PM) on Saturday, the 15th November 2008 at the DG NCC Officers Institute Parade Ground, Delhi Cantt, Delhi 110010.
Opening Remarks The President of the Georgians Association – Delhi, Lt Gen P S Chaudhary welcomed everyone present. In his opening remarks, the President highlighted the activities of the Association. He appreciated the great Georgian spirit, the comraderie and peer fellowship, very visibly on display today and amply highlighted by the fact that a large number of Georgians had come for this event from outstation, some as far as Nepal, Sikkim, Bangalore, Mumbai, J&K, Assam etc.
Homage The House rose for a minutes silence to pay tribute to our Chief Patron Col B K Das, Cdr B S Ranjit, ex-Principal, Chail Military School, Mr J C Vaid, faculty member at Belgaum, Mr G K Nagesh Rao, faculty member at Ajmer, Belgaum and Bangalore, and also in memory of Georgians who passed away this year.
The Secretary General informed the house that Col B K Das was a faculty member at KGRIMC, Jullandhar in early forties and the contributions made by him for the cause of the five schools as Chief Patron of the Georgians Association at Delhi since its start and attended all its functions without fail.
Agenda Points 1. Annual Report - The Secretary General, Shri Lalit Kaul presented the Association’s report on the year’s activities. Thereafter other agenda points were taken up.
a) A presentation on the history of the five schools was made by Mr Lalit Kaul and also informed the house that in class Xth and XIIth CBSE examinations held in 2008, the result of the schools was 100% except that of Dholpur School.
b) To encourage the Class X toppers in each school, the GAD has been awarding Rs 1500 to the best cadet which was given to the Principals of the five Military Schools who attend the function today so as to be presented to the respective cadets of their schools.
c) As regards entry of cadets into the NDA Khadakvasala, there has been a gradual increase compared to the previous years.
d) During his recent visit to the US from April to July 2008, the Secretary General met a few Georgians who wanted to do something for the cadets studying in the five Military Schools. He informed that the schools are being taken care of by the Ministry of Defence (MOD) but something needs to be done for those cadets whose fathers have been killed in action (KIA) as MOD had discontinued sometime in 2003 the earlier practice of giving clothes and books to the children of JCOs and ORs and their equivalent in the Navy, Airforce and Para Military Forces who were earlier being given this facility during our times and the burden of this was now on the widowed mother of the cadet amounting to Rs 8500 p.a approx. It was informed that after this was put on the Georgian website in Oct 2008, the association received three cheques of Rs 8500 each from Belgaum Georgians – two from the US and one from Pune for these cadets and where presented to the Principal of Belgaum School to be handed over to the concerned cadets. Georgians of other schools were also requested to come forward for cadets of their respective schools and send the payment to GAD.
e) The MT – 15 Directorate of the AHQ has started to prepare a Coffee table book on the history of the five schools titled “Nurturing Valour – Rashtriya Militray Schools” which will be ready by March / April 2009 and sent to the respective schools for distribution on payment. All Georgians are requested to contact their respective schools and book copies of same.
f) GAD launched the website www.georgians.in for the GEORGIANS at the AGM / Annual get together held in Nov 2006 which was started by Georgian Amarjeet Malik who is also maintaining and managing it. This website was started with an objective so that Georgians can interact with their brother Georgians and also all information will be put by GAD to Georgians all around the world on its activities and to stop the system of sending letters to its members as Georgians don’t inform their present / changed addresses which was informed at the AGM held in 2006. It has been lately reported that some Georgians have been misusing this website to report certain wrong information on the schools which has hurt the concerned. Request was made to all Georgians to please check about the authenticity of such messages before posting such information on the website.
Further, if any GEORGIAN wants to bring anything to the knowledge of the Senior Officials in the MoD or Army Education Corps, they were requested to send their matter / views to the President / General Secretary of the Georgians Association – Delhi to ensure that the issue is discussed at the Executive Body meeting and thereafter send to the concerned so as to ensure that action is effectively taken on it. The Secretary General informed the good work done by Georgian Amarjeet Malik who is the administrator of the website and to keep a token amount for his contribution and regular maintenance of the site. The Secretary General suggested a token amount of Rs 5000 per year to be given to Mr Amarjeet Malik which was seconded by Col Digamber Singh and approved and passed by the house.
g) During the last AGM held in Nov 2007, GAD had requested all Georgians to donate Rs 500 towards the Association corpus fund. The response to this has been very poor. All Georgians present were requested to come forward and contribute towards this corpus fund.
h) The Georgian magazine is delayed for the year due to delayed receipt of reports / photographs from a few schools so this will be published and kept for distribution at the next AGM and Annual Dinner to be held in Nov 2009.
i) The Secretary General informed that there was an account in the Punjab National Bank, Naraina Branch which was non operative for a very long time. The treasurer informed that such non-operative accounts need to be closed which was agreed and passed by the house.
j) The Secretary General informed that one of our Senior members namely viz., Mr M S Kanwal had send an email to the Association that the accounts of the Association be emailed to him and also to be put on the Georgian website. This was debated and the house passed that this should not be done and those members who wish / desire can visit the GAD office and see the records.
2. Passing of the Balance Sheet & Appointment of Auditors- Copies of the audited Balance Sheet were distributed/circulated before the AGM. Representative of the auditor was also present. The Balance Sheet and appointment of M/s M S Sekhon & Co as our Chartered Accountants was discussed and approved by the house which was proposed by Brig. K S Dalal and seconded by Mr. Shishir Mehta.
3. Election of the President- Lt Gen P S Chaudhary, informed the house that he shall be retiring on 30th Nov 2008 and requested a new President to take over. The name of Lt Gen S S Kumar was proposed by Mr K B Berry which was seconded by Mr Bajwa. The motion was carried unanimously.
4. Election of Vice President- Mr V K Nanda and Col Bajwa requested that the present two Vice Presidents to continue. The house agreed that the present two Vice Presidents namely Brig D J Singh and Col Digamber Singh to continue. The motion was carried unanimously
5. Election of Secretary General- Mr R S Malhan requested Mr. Lalit Kaul, the present Secretary General to continue which was seconded by Brig P S Ranger. The motion was carried unanimously.
6. Election of Joint Secretary General– Mr Berry proposed that Col Rajive Kohli to continue as the Joint Secretary General, which was seconded by Mr Anil Sehrawat. The motion was carried unanimously.
7. Election of Treasurer- Dr D S Choudhury, the present Treasurer was requested to continue which was proposed by Mr K S Bajwa and seconded by Brig. P S Ranger. The motion was carried unanimously.
8. Election of School Representatives- The names of the School representatives as proposed and announced as under were passed by the house
a) Ajmer - Col D P Badsra & Col Ajit Singh Rana
b) Bangalore - Mr. Anil Sehrawat & Col Badola
c) Belgaum - Mr. Anup Kumar & Lt Col P S Punia
d) Chail - Col K S Bist & Col S P S Malhotra
e) Dholpur - Capt Jai Singh Jakhar & Mr Vinod Rajoudaa
09. The Chairman Lt Gen R S Dyal thanked Maj Gen S S Nair, ADG Education and the Principals of the five schools who were present for the function today. He also thanked all Georgians and their family members who attended this function.
10. Vote of Thanks a) The Secretary General Mr. Lalit Kaul thanked everyone present especially the Georgians who had come from outstation like Nepal, Bhutan, Bangalore, Sikkim, Mumbai, Pune, Jaipur, Dholpur, Dehradun, Amritsar, Chandigarh etc to attend this function.
b) He also thanked the Defence Secretary, the ADG Army Education and the Principals / Officers of the Army Education Corps for the great interest they are taking in the five Military Schools.
c) Thanks were also conveyed to the Officers and staff of the DG NCC Officers Institute for the assistance extended by them in making the function a grand success.
d) Thanks were also conveyed to the Executive Committee members for the good work done by them during the year.
e) Thanks were also conveyed to Georgian Amarjeet Malik who started the Georgian website www.georgians.in and is managing it. Also all Georgians were informed that after the start of the website the Association had discontinued sending letters etc for the various functions being organised. All Georgians were requested to regularly visit the site and update themselves with the activities of the Association. Further they were also requested to update their personal information on the website.
f) Thanks were also conveyed to our Chairman Lt Gen R S Dyal, our Patron Mr K S Bajwa, President Lt Gen P S Chaudhary, members of the Executive Body and School representatives for their moral support.
The Vote of thanks was passed by Brig R S Manhas and seconded by Col Shridutt Mehta.
The meeting was then declared closed and all Georgians along with their families and distinguished guests were invited to proceed for the Annual Dinner.
